AI for education, training and coaching

AI for education, training and coaching: more time teaching, less time on admin

AI helps an education, training or coaching business by handling the admin around the teaching: answering enrollment questions, building course drafts, following up after sessions, tracking learner progress and chasing payments. Ironbridge AI Advisory builds and runs those systems, and instructors and coaches stay in charge of the learning.

Where the work piles up in education, training and coaching

Enrollment questions arrive at all hours

Prospective students, parents and corporate buyers ask about schedules, prices, prerequisites and financing by email, chat and phone. Slow answers lose enrollments, and fast answers take staff away from current learners.

Course building is slow and manual

Turning expertise into lessons, slides, quizzes, workbooks and videos takes weeks of work per course. Updating content when a standard, regulation or software version changes takes almost as long.

Coaches drown in session admin

Every coaching call needs notes, action items, a recap email, homework and a reminder before the next session. Across a full client roster, that admin eats evenings and weekends.

Learners drop off quietly

Students stop logging in, skip assignments or miss sessions, and nobody notices until they ask for a refund or fail to finish. Completion and renewal suffer for reasons that were visible in the data.

Corporate training needs proof of results

Companies buying training want attendance, completion, assessment scores and evidence of skill change for each employee. Pulling that from an LMS, spreadsheets and survey tools by hand delays renewals.

Scheduling and billing take a full-time person

Instructors, rooms, cohorts, makeup sessions, payment plans and refunds all have to line up. Small teams end up with an owner or director doing calendar and invoice work instead of running programs.

Enrollment, admissions and sales

Answer every prospective learner fast and send the right ones to a person.

5 use cases

  • AI agent

    Enrollment question agent

An agent answers website chat and email questions about programs, start dates, prerequisites, pricing and refund policy from your approved catalog. It books a call with an advisor when someone is ready or has a question it cannot answer, and never promises outcomes or aid.

  • Voice agent

    After-hours phone answering

A voice agent answers calls when the office is closed, handles common questions, takes messages and schedules callbacks or info sessions. Staff start the next morning with a summary of every call and the caller's details.

  • Automation

    Lead follow-up sequences

Inquiries are sorted by program interest and stage, then receive follow-up emails and texts with the right info session, syllabus or testimonials. Texts go only to people who gave consent, and advisors see who engaged so they call the warmest leads first.

  • AI agent

    Corporate training proposals

For B2B training, the system drafts proposals from the buyer's goals, headcount and schedule, using your course catalog, delivery options and past outlines. The sales lead sets pricing and approves the scope before it is sent.

  • Automation

    Application and document collection

For programs with applications, the system tracks each applicant's forms, transcripts, recommendation letters and placement tests, and sends reminders for what is missing. Admissions staff see complete files ready for review, and every admit decision is made by a person.

Curriculum and content development

Turn subject expertise into course material faster, with experts reviewing every lesson.

5 use cases

  • AI agent

    Course outline and lesson drafts

From a subject expert's notes, recorded talks or a textbook you have rights to, the system drafts learning objectives, a module outline, lesson scripts and slide text. The instructional designer and subject expert edit and approve everything learners see.

  • Automation

    Quiz and assessment generator

The system writes question banks tied to each learning objective, with answer keys, explanations and difficulty levels. Instructors review every item for accuracy and fairness before it goes into the LMS.

  • Analytics

    Content refresh checker

When a regulation, certification exam outline or software version changes, the system scans your courses for lessons that reference the old version and lists what needs updating. Course owners decide what to rewrite.

  • Automation

    Accessibility and captioning pass

Video lessons get captions and transcripts, images get draft alt text, and documents are checked for heading structure and reading order. A staff member reviews captions for technical terms and names before publishing.

  • Automation

Workbooks, job aids and practice scenarios

The system turns approved lessons into printable workbooks, one-page job aids and role-play scenarios with realistic cases from your field. Facilitators review each scenario for accuracy and tone before it is used in a live session or cohort.

Learner support and engagement

Help learners get unstuck and notice when they start to drift.

4 use cases

  • Custom app

    Course help assistant

A course-specific assistant answers learner questions using only your course materials and cites the lesson it drew from. It is built to explain and guide rather than hand over graded answers, and it routes anything personal or unclear to an instructor.

  • Analytics

    At-risk learner alerts

Login activity, assignment submissions, quiz scores and session attendance are combined to flag learners who are falling behind. Instructors or success staff get a weekly list with the reason for each flag and decide how to reach out.

  • AI agent

    Assignment feedback drafts

For written assignments, the system drafts feedback against your rubric, pointing to specific strengths and gaps. The instructor edits the feedback and assigns the grade, so every grade comes from a person.

  • Automation

    Cohort communications

Session reminders, recording links, homework, deadline nudges and schedule changes go out automatically by email, text or community post. Program managers approve templates once, and the system handles each cohort's calendar.

Coaching delivery and client follow-up

Give coaches their evenings back without dropping a single client commitment.

5 use cases

  • Automation

    Session notes and recap emails

With the client's consent to record, coaching calls are transcribed and summarized into themes, commitments and homework. The coach edits the recap and sends it, and the notes are saved to the client's file.

  • Automation

    Pre-session briefs

Before each call, the coach gets a one-page brief with last session's commitments, homework status, check-in answers and anything the client flagged since. Coaches start every session already caught up.

  • AI agent

    Between-session accountability check-ins

The system sends short check-ins on the commitments a client made, collects replies and flags anyone who is stuck or has gone silent. The coach decides when to step in personally.

  • Custom app

Client portal with goals and resources

A private portal shows each client their goals, session history, recaps, assigned resources and upcoming bookings. It replaces scattered emails and shared folders with one place the client and coach both use.

  • Automation

    Intake and discovery questionnaires

New clients complete an intake form before the first session, and the system summarizes goals, history and context into a brief for the coach. The coach reviews it and shapes the engagement plan, which stays a human decision.

Operations, scheduling and billing

Keep calendars, rooms, instructors and invoices in step.

4 use cases

  • Custom app

    Instructor and room scheduling

The system builds class schedules from instructor availability, room or virtual seat limits and enrollment numbers, and flags conflicts. The program manager approves the schedule and any substitutions.

  • Automation

Payment plans and failed payment follow-up

Installments, failed cards and overdue invoices in Stripe or QuickBooks trigger polite reminders and a link to update payment. Accounts that stay unpaid go to a person, who decides on holds or payment arrangements.

  • Automation

    Certificates and continuing education records

When a learner meets completion rules, the system issues the certificate, records hours and credits, and prepares reports for accrediting bodies or licensing boards where you are an approved provider. Staff review each batch before submission.

  • Automation

    Staff and instructor onboarding

New instructors and coaches get their contracts, background check links where required, platform accounts, teaching guides and first-week schedule automatically. Operations confirms paperwork is complete before anyone gets access to learner records.

Reporting and outcomes

Show buyers, boards and parents what the program delivers.

4 use cases

  • Analytics

    Corporate client training reports

Attendance, completion, assessment results and survey feedback are pulled from the LMS and forms into a report per corporate client. The account manager reviews and sends it, which supports the renewal conversation.

  • Custom app

    Program performance dashboard

Enrollment, completion, drop-off points, satisfaction scores and revenue are shown by program, cohort and instructor. Leadership can see which courses need rework and which are ready to scale.

  • Analytics

    Survey and feedback analysis

Open-ended course evaluations and coaching feedback are grouped into themes with example quotes. Program leads read the summary in minutes instead of scrolling through every response, and can drill into the originals.

  • Automation

    Parent and sponsor progress updates

For youth programs and employer-sponsored learners, the system drafts progress updates from attendance, scores and instructor notes. An instructor reviews each one before it is sent, so families and sponsors hear consistent, accurate news.

Guardrails for AI in education, training and coaching

Learner records, minors and coaching conversations all carry legal and trust obligations. These are the rules the systems are designed around.

FERPA and student records

FERPA governs education records at schools and programs that receive US Department of Education funds, limiting disclosure without consent. Vendors that handle those records typically work under the school's direct control as a school official. Systems keep student records in approved tools, restrict access by role, log every access, and never send records to public AI models for training.

COPPA and learners under 13

COPPA requires verifiable parental consent before collecting personal information from children under 13 online, and the FTC updated the rule in 2025. Many states add their own student privacy laws. For youth programs, AI tools are parent- or teacher-facing by default, collect the minimum data, and do not profile children for marketing.

Consumer protection and outcome claims

The FTC has taken action against education, coaching and business opportunity sellers over deceptive earnings and job placement claims. Enrollment agents answer only from approved materials, never promise results, income or job placement, and hand financing and refund questions to a person.

TCPA, CAN-SPAM and coaching confidentiality

Marketing texts and automated calls need prior express written consent under the TCPA, and emails must meet CAN-SPAM, including a working unsubscribe. Coaching conversations are confidential by professional standard, and recordings need the client's consent. Consent is checked before every send or recording, and session notes stay private to the coach and client.

How we start

  1. Find

We sit with your team, map how the business actually runs, and pick the few jobs worth handing to AI first.

  2. Build

Our engineers build the agents, automations and apps inside the tools your people already use, with people approving what matters.

  3. Run

We monitor, fix and improve everything we ship, and report every month on what each system saved or earned.

One flat monthly fee, month to month. How the engagement works

AI for education, training and coaching: questions we get asked

How much does AI cost for an education or coaching business?

Ironbridge works for one flat monthly fee, month to month, scoped on a strategy call around the workflows you want handled first. There is no per-student or per-seat pricing, and the fee covers building the systems and keeping them running.

Will AI replace my instructors or coaches?

No. AI handles the admin and first drafts: enrollment questions, course outlines, session recaps and reminders. Teaching, coaching conversations, grading and judgment about each learner stay with your people.

What should a training company automate first?

Most start with enrollment follow-up or learner communications, because both are repetitive and affect revenue quickly. Coaching practices usually start with session notes and recaps, which free the most hours per week.

Can AI build an online course for us?

It can draft outlines, lesson scripts, slides and quizzes from your expertise, which shortens the build a lot. Your subject expert still reviews and approves every lesson, because accuracy and your teaching voice are what learners are paying for.

Is AI safe to use with student data under FERPA?

It can be, if the system is built for it. Student records stay in approved tools under your control, access is limited by role and logged, and data is not used to train public models. We design around your FERPA obligations, and your counsel confirms the details.

Will students use an AI assistant to cheat?

A course assistant can be built to explain concepts and point to lessons rather than produce graded answers, and to follow your academic integrity policy. Assessments that matter can be designed so a person reviews the work, such as oral checks, projects or proctored exams.

Does AI work with Kajabi, Thinkific or our LMS?

Yes. We connect to the platforms you already use, including Kajabi, Thinkific, Teachable, Canvas, Moodle and TalentLMS, along with Zoom, Calendly, Stripe and your CRM. Your learners do not have to move to a new platform.

Can AI help my coaching business scale without hiring?

Yes, within limits. Automating intake, scheduling, recaps, check-ins and billing lets one coach serve more clients well, and a client portal gives clients support between sessions. The coaching itself still needs you, and the goal is to protect that time.
